Plan the routine around your site
Use a stable property reference and define which accessible rooms and areas the assigned team may enter. The changeover record should identify approved preparation tasks and the actual outcome, including work that could not be completed. Review outstanding premises actions before starting so unresolved maintenance does not become a disconnected new report. Required fire, electrical, gas, water and other specialist checks keep their competent procedures and record references. Guest identity and booking information belong in their designated system. Give any maintenance exception a property location and next owner, then record the authorised review before the operator makes its availability decision.
Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Give the next shift enough context
A loose accessible fitting is observed at cottage HC-03’s entrance. The team records the property reference and follows the premises reporting procedure. The property lead records the temporary arrangement and repair owner. The next changeover sees the original finding and later authorised review without guest details.
Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

Review the work still needing attention
Review repeated changeover exceptions by property and whether a maintenance action remains visible to different cleaners. Separate preparation completion, any required verification and the operator’s availability decision. A late submission should retain its actual time and explanation rather than being used to imply an earlier review.
