A room-ready check should leave a useful handover.

Housekeeping, reception and maintenance see different parts of the same guest experience. A shared operational record helps a hotel pass the right detail between those teams.

Give room readiness a clear structure

Separate cleaning, room-condition checks and maintenance follow-up. Staff should be able to record what they actually inspected without treating every task as the same kind of answer. Use the room number and a clear routine name so the next team can find the right record.

Photograph the finding, not the guest

A loose handle, damaged furniture or a visible leak can be easier to understand with a supporting photo. Avoid capturing guests, luggage labels or personal belongings. Record the location and observed condition alongside the image so maintenance can identify the issue without another call to housekeeping.

Keep the handover specific

If a room needs attention, record what was found and who has been informed under your hotel’s procedure. A submitted report does not itself change room availability in a booking system. Reception and maintenance still need to coordinate the decision through the systems they use.

Assign the next action

Give each item needing follow-up a named owner and an agreed next step. Before recording a resolution, check the work and add the outcome. Keep the original finding visible: it explains why the action was needed and can help identify repeat problems in the same room.

Review the week by area

Look at missed routines, repeat room defects and issues awaiting follow-up. A completion percentage can show activity, but the underlying answers explain the work. Review the individual record before deciding whether a schedule, checklist or maintenance process needs changing.
