Plan the routine around your site
Keep reception, skate-hire public areas, changing facilities and accessible routes distinct from specialist ice, plant and resurfacing work. The opening lead should read the previous session’s restrictions and reference the authorised operational decision where required. Assign premises observations only to staff trained for their scope, with recognisable area identifiers. The record needs an actual outcome for preparation or cleaning that cannot be completed before the session. Plant access and equipment operation remain governed by competent procedures. At changeover, carry the affected area, temporary arrangement and next owner forward so the new team does not infer whole-rink availability from a completed public-area routine.
Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Define which parts of the rink the record covers
A reception or facilities round should not imply inspection of refrigeration plant, ice condition or resurfacing equipment. Reference the required authorised decisions separately.
Give the next shift enough context
A damaged accessible fitting is noticed beside skate-hire route IR-03. The team reports the location and follows the public-area restriction process. The duty lead records the temporary route arrangement and maintenance owner. The next session team sees the current premises action separately from the authorised rink decision.
Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

Review the work still needing attention
Review public-area findings that recur during session changes and whether maintenance actions retain a named owner. Keep premises completion, ice-condition decisions and specialist plant records distinguishable. Repeated late public-area resets may indicate a changeover timing issue that the assigned routine should make visible.
