Give every shop opening a clear record.
Opening a shop involves more than unlocking the door. A focused routine helps staff record the condition of the space and pass findings to the manager before they are lost in a busy trading day.

Group checks around the entrance, shop floor, stockroom and closing routine. Use the names and locations your team already uses. A short, specific question is easier to answer consistently than a broad request to confirm that the whole store is ready.
Make damage easy to identify
For a damaged shelf or fitting, record its exact location and the visible condition. Attach a relevant photograph where appropriate. The next person should be able to locate the item from the report without asking the original staff member to walk them through the store.
Record the response as well as the defect
Staff should follow the store’s procedure for the situation and record what action they took. Note who was informed and any relevant reference. A digital report is useful evidence, but it does not physically isolate an area or arrange a repair by itself.
Keep closing work attributable
Give closing routines a clear owner and deadline. If something cannot be completed, record the reason and escalate it through the agreed process. Avoid sharing one manager account across the team: the value of the record depends on knowing who submitted the answers.
Compare stores carefully
A manager reviewing several locations should consider their different schedules and routines. Compare like-for-like work and read the explanation behind an exception. A failed answer can show that someone spotted and reported a problem; a missing submission raises a different question.
