Plan the routine around your site

Divide the shop into counter service, preparation, delivery reception and shared premises. Before the first customer, the assigned lead should review the previous close, outstanding equipment restrictions and the records required by the approved food-safety system. Describe the actual task for each area instead of using a single “shop ready” answer. Keep raw and ready-to-eat workflows identifiable where relevant to the business. Temperature limits, cleaning methods and product decisions belong to the approved procedure. The operational record should point to that procedure and identify who receives an exception when work cannot be completed.

Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Do not let a premises tick imply food release

Record the specific counter task and refer to the authorised food-safety decision. Completing an opening walkround does not establish that every product is suitable for sale.

Give the next shift enough context

At counter BC-02, a loose accessible trim is noticed before service. The team records the location, follows the restriction procedure and tells the shop lead rather than improvising a repair. The opening handover identifies the affected counter and the alternative arrangement. The later authorised repair and review stay beside the original observation.

Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

  1. Keep the original observation and time.
  2. Assign a specific next action and agree when it will be reviewed.
  3. Record the later outcome and authorised verification beside the finding.

Review the work still needing attention

Review recurring counter defects separately from incomplete cleaning and missing food-safety records. A completed opening round with an exception needs follow-up, while an unsubmitted round needs an account of what was actually done. Check whether morning staff can identify the affected area without asking the closing team.
