Begin with the previous closing handover

An opening routine should start with what the outgoing team left unfinished. Identify active restrictions, work awaiting review and the person responsible for the next decision. Split a large site into recognisable areas so the assigned person knows which work belongs to them. A broad “site ready” answer is difficult to act on when a room or asset remains unavailable.

Define the record before adding questions

Each question should describe the assigned work under your approved procedure. Agree the due window, expected answer and what staff should record when work is incomplete. Use consistent area or asset references. An honest exception with a reason and next action tells the manager more than an unexplained pass. Required specialist confirmations retain their competent procedures and source records.

Carry a useful action into the next opening

Closing is a handover point, not only a list of shutdown tasks. Record the actual observation, action already taken and next owner for unfinished work. For example, if a room fitting needs assessment, the next opening team should see the room reference and current restriction until the authorised outcome is reviewed. Check completion and open findings together when assessing the routine.
