Plan the routine around your site
Draw a clear boundary between the public retail area, delivery reception and the wider farm. Assign the shop team only the premises and retail tasks within its role. Before opening, review display preparation, accessible routes and findings left by the previous shift. Deliveries can change the layout during trading, so define who receives a blocked-route or damaged-display report. Required food-safety records and any farm-activity controls need their own approved procedures. Closing should identify an unfinished delivery or premises action clearly enough for the next shop lead to understand what needs attention before customers enter.
Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.
What to include in the checklist
These are planning examples. Adapt the questions and timing to your approved procedures and the person’s responsibilities.
| Routine | Work to define | Useful record |
|---|---|---|
| Retail handover | Review unresolved shop-floor findings. | Location, owner and active restriction. |
| Produce display | Complete assigned display-area preparation. | Aisle or counter reference and result. |
| Public routes | Follow the approved accessible-route walkround. | Exact obstruction or defect location. |
| Delivery reception | Record exceptions within the retail receiving area. | Delivery-area action and responsible lead. |
| Food-safety records | Refer to approved food-safety controls where applicable. | Record reference and exception response. |
| Shop closing | Carry unresolved retail tasks into the next opening. | Next owner and due review. |
Define the shop boundary before assigning the round
A retail opening record should name the shop areas it covers. It cannot stand in for checks on tractors, animal areas or other farm activities outside the assigned team’s scope.
Give the next shift enough context
A produce display projects into an assigned public route after a delivery. Staff report the aisle reference and follow the shop lead’s immediate rearrangement procedure. The lead records the corrected layout and any outstanding delivery task. The next opening team can distinguish the completed action from work still needing review.
Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.
- Keep the original observation and time.
- Assign a specific next action and agree when it will be reviewed.
- Record the later outcome and authorised verification beside the finding.

Review the work still needing attention
Review whether recurring delivery exceptions appear at the same time or location. Compare completed retail rounds with unresolved findings that affect customer access. Keep farm-operation records and shop-floor submissions distinct, so the person reviewing a shop checklist can see exactly which areas it covers.
Review completion and outstanding actions together. A missing routine and a completed routine with a failure need different follow-up. The weekly manager review guide explains how to move from the summary to the source record.

Try the routine in CheckControl
Start with an existing routine, add its questions and instructions, and agree the assignment and due window. Staff can record answers and findings on their phones; managers can review the record and follow-up. Use the relevant PDF or Excel export for your authorised review. The public demo uses fictional people, findings and evidence.
Common questions
Can a farm shop use a separate checklist from the farm?
Yes. Separate assignments by work area and responsible team, with references between records where an operational finding affects both activities.
What is the scope of this guide?
Retail food controls follow the approved food-safety system. Farm activities, public visits and vehicle movements require their own risk assessments and competent arrangements.
