Plan the routine around your site

Start with building identifiers, then define the teaching rooms, circulation routes and shared facilities assigned to each team. A campus-wide checkbox gives little help to a reviewer trying to locate an exception. Keep specialist laboratories, workshops and restricted areas on their authorised procedures and use record references where a premises handover depends on them. Schedule room-readiness tasks around actual use rather than a universal morning deadline. Staff should record an access exception honestly when a room is unavailable. Pass the building, room and next action owner between facilities and local teams without collecting student or research information in the shared premises record.

Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Campus totals need a route to the actual room

Use consistent building and room identifiers in every finding and follow-up. A reviewer needs the source record and current action rather than only an aggregate completion percentage.

Give the next shift enough context

A loose accessible door fitting is observed at foyer UC-B2. The reporter records the building and location and follows the facilities escalation process. The local lead and facilities team use the same finding reference. The next building round sees the temporary arrangement and outstanding authorised assessment.

Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

  1. Keep the original observation and time.
  2. Assign a specific next action and agree when it will be reviewed.
  3. Record the later outcome and authorised verification beside the finding.

Review the work still needing attention

Review repeated exceptions by building and room, including access failures caused by scheduling. Check whether local teams and central facilities agree on the next owner. Keep premises completion distinct from laboratory or workshop authorisation and avoid allowing a campus total to hide unresolved actions in one building.
