Plan the routine around your site

Define the shared facilities and accessible premises areas covered by each assigned routine before setting its schedule. Agricultural machinery, livestock, substances and farm vehicle movements need their own competent instructions and records. A general premises checklist should not ask staff to assess unfamiliar equipment or enter areas outside their role. Read outstanding location restrictions before the round and use a stable building or yard reference for observations. Record an honest exception if the assigned task cannot be completed. The handover should identify the actual finding, current response and next authorised owner so seasonal or changing teams can understand unfinished operational work.

Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

A whole-farm readiness answer hides different responsibilities

Name the shared areas and tasks covered. Machinery, animal care and other specialist activities require their competent roles and source records rather than one general premises approval.

Give the next shift enough context

A damaged accessible door fitting is reported at farm staff entrance FA-01. The reporter identifies the building and follows the premises response procedure without approaching machinery or livestock. The farm lead records the temporary arrangement and authorised assessment owner. The incoming team sees the same finding reference and current action.

Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

  1. Keep the original observation and time.
  2. Assign a specific next action and agree when it will be reviewed.
  3. Record the later outcome and authorised verification beside the finding.

Review the work still needing attention

Review repeated shared-facilities findings and whether temporary or seasonal teams can locate an action from its building reference. Keep premises completion distinct from machinery, livestock and substance-control records. Check that each access exception has a reason and next owner rather than encouraging work outside a person’s trained scope.
