Plan the routine around your site

Set the marina daily inspection checklist’s boundaries before assigning it. Landside staff facilities and authorised access areas should be named clearly, with a reference the maintenance team can find. Keep waterside, pontoon, lifting, vessel and engineering work within its specialist assessments and access arrangements. Record an area that cannot be inspected from a permitted position rather than encouraging someone to enter it for a photograph. A useful operational report identifies the actual location, observation, person informed and next action. The original finding should stay available when the responsible lead later reviews the work.

Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Do not collect evidence from outside the authorised scope

A missing photo can have a valid reason. Record the permitted observation and escalation instead of entering a restricted or specialist work area to improve the report.

Give the next shift enough context

A damaged lead is observed on disconnected shared equipment in a landside staff room. The reporter identifies the item and informs the facilities lead, following the site’s withdrawal procedure. An authorised provider records the assessment or replacement. The facilities lead reviews the outcome while any specialist marine restrictions remain in the separate process.

Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

  1. Keep the original observation and time.
  2. Assign a specific next action and agree when it will be reviewed.
  3. Record the later outcome and authorised verification beside the finding.

Review the work still needing attention

Look for findings that cannot be located from the report alone. Review repeated access exceptions and unresolved landside maintenance actions. A facilities submission must not imply a vessel, pontoon or lifting operation has been cleared.
