Plan the routine around your site

Agree which reception, staff facilities and shared premises areas belong in the assigned non-clinical routine. Access and task definitions come from the clinic’s approved procedures and competent roles. Keep clinical equipment, infection prevention, treatment-room decisions and patient information in their designated authorised systems. The premises checklist can reference a relevant approved record where needed without copying clinical content into a general form. Review current maintenance restrictions before the round and record the actual outcome of assigned work. When a task cannot be completed, identify the reason, facilities owner and next review so the following team receives an actionable handover.

Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

Use the area, observation, response and next owner. Clinical details and patient-related decisions belong in their authorised records and access arrangements.

Give the next shift enough context

A loose accessible door fitting is observed on staff corridor MC-02. The reporter identifies the non-clinical location and follows the clinic’s facilities response procedure. The facilities lead records the temporary arrangement and authorised assessment owner. The incoming team can follow the action without reading patient or clinical records.

Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

  1. Keep the original observation and time.
  2. Assign a specific next action and agree when it will be reviewed.
  3. Record the later outcome and authorised verification beside the finding.

Review the work still needing attention

Review repeat shared-area findings and whether facilities ownership remains clear across shifts. Keep operational task completion distinct from treatment-room and clinical decisions. Check that the report contains enough location detail to act on the finding and no unnecessary appointment, patient or health information.
