Define the non-clinical scope

Name the reception, staff facilities and shared areas assigned to the premises team. Approved access and competent responsibilities determine the work. A general facilities checklist cannot establish treatment readiness or replace individual care assessments.

Use location references instead of patient information

A useful facilities report identifies the area or shared asset, actual observation and immediate response. Resident or patient identities, health information and appointments belong in their designated systems. The operational record should contain only the details needed for premises follow-up.

Keep specialist decisions identifiable

Reference required competent building-system or equipment records where relevant. Give unresolved facilities work an owner and review point, keeping the original observation and later authorised outcome together. Completion of a premises round should represent its actual scope.
