Plan the routine around your site
Organise each routine by training room, reception and shared facilities, with responsibilities that reflect how the centre operates. Prepare the room within a due window that matches its next scheduled session rather than forcing all rooms into one opening task. Approved procedures determine the layout, equipment checks and any specialist practical-area work. Record the actual outcome and the item or area affected by an exception. Learner attendance, assessment and personal information belong in their designated records. At session close, give the next facilitator a clear room handover with an owner for equipment or premises work that remains unfinished.
Agree the assigned role, due window, expected record and escalation route with the people who do and review the work. Include an honest outcome for work that could not be completed, with a reason and a next action.

A session reference should not expose learner details
Use the room and relevant time window to identify preparation work. Attendance, assessments and learner information stay in the centre’s designated records.
Give the next shift enough context
An accessible socket surround is visibly damaged in room TC-03. Staff follow the site restriction procedure and report the exact location without attempting a repair. The centre lead records the temporary room arrangement and authorised assessment owner. The next facilitator sees the same restriction before setting up.
Identify the area or asset, the observation, the actual result, the immediate action and who was informed. Attach useful evidence where safe and permitted. A photograph supports a finding without establishing its cause.

Review the work still needing attention
Review repeated reset exceptions and whether equipment findings remain visible across facilitators. Compare task due windows with actual room use. Keep operational completion separate from learner attendance and course assessment so the premises summary remains accurate and free of unnecessary personal information.
